Terms & Conditions: Catering

OPERATING TIMES

University Caterers standard operating hours are Monday to Friday from 08.00am to 04.00pm. All deliveries and collections required outside these times will incur an aditional fee. Catering services outside standard operating times is by prior arrangement and subject to approval.

BOOKINGS, ADJUSTMENTS AND CONFIRMATIONS

A booking is considered tentative once University Caterers have prepared and forwarded a quotation document for the client’s consideration.


Whilst we appreciate that things can change or pop up at the last minute. We have the following time frames in place to ensure that you are receiving the best possible catering service.

Venue Hire and Catering Perth UWA

Bookings are not confirmed until you have received your confirmation documentation from our catering staff.

CANCELLATION POLICY

We understand that plans change, and we will gladly assist you in making changes to your catering order with the following conditions and charges.
If cancellation results in a full charge, please be ready to nominate a delivery area to your order. Your decision whether to accept the food or not will be final.

Venue Hire and Catering Perth UWA

DELIVERIES

University Caterers will deliver your order 10 to 15 minutes prior to confirmed event starting times (unless otherwise stated. To ensure your order is secure we recommend that someone be present to accept the delivery and to ensure the area is ready.


Functions in public areas should not be left unattended and University  Caterers accepts no responsibility for missing items once they are delivered.

UWA Crawley Campus
During operating hour, there is a delivery, collection & administration fee of $30.00 per delivery on campus. After operating hours staffing cost will apply.

Off Campus

All off-campus deliveries will incur a delivery/service charge depending on the time and distance required to deliver and collect items. Starting at $60.00. A minimum order value of $300 is required for off campus deliveries.

LEFTOVER POLICY

Due to regulations of the Health Department and in line with the industry standards, any food not consumed during an event must not be removed except by University Caterers staff. No credit will be given for unused food.

PRICING POLICY

Our menu prices are based on events on University of Western Australia Nedlands campus during standard business hours – Monday to Friday. Events held on Saturday or Sunday or after hours will incur surcharge across both staffing and food/beverage price and shall be confirmed on acceptance of your booking. All prices are current at the time of quotation however are subject to change based on market fluctuations. Prices will be confirmed when finalizing your order unless your event has items charged on consumption.

PRODUCT AVAILABILITY

University Caterers reserve the right to substitute food, beverage or service items, in consultation with the client, when issues arise regarding product availability or supply.

SERVICE

Food and beverage staff are not included in the menu pricing. However, our friendly staff can advise you to suitable staffing levels and rates for your event to ensure the best outcome and affordable options for your function. If due to unforeseen circumstances, the event should run overtime, this can be taken into consideration and can be charged at an additional cost to the final invoice. During the time of booking, the sales staff will be able to provide guidance as to an appropriate time for staff start and finish.

MISSING EQUIPMENT

Missing or damaged equipment will incur full replacement cost. Please ensure that equipment is left packed at the delivery point. Missing items will be charged on the final invoice.


Additional costs will apply if our staff should return on other than agreed times to collect equipment due to the event running late or equipment not been left in the set-up location.

SPECIAL DIETS

Dietary requests must be made at the time of booking and will not be accepted later than 2 full working days prior to the event. Additional costs may apply for special diets.

University Caterers makes every attempt to identify ingredients that may cause allergic reactions for those with food allergies. Every effort is made to instruct our staff on the severity of food allergies. In addition, we label items with possible allergen- containing ingredients; however, there is always a risk of contamination. There is also a possibility that manufactures of the commercial foods we use could change the formulation at any time, without notice. Customers concerned with food allergies need to be aware of this risk. University Caterers will not assume any liability for adverse reactions to foods consumed.

ALCOHOL SERVICE

When alcohol is supplied at an event by us, it is mandatory under the terms and conditions of our liquor license that it is served by our staff. It is an offence under the Liquor Control Act 1988, to sell or supply liquor to a person under the age of 18 years old on licensed or regulated premises or for a person under the age of 18 years to purchase, or attempt to purchase, liquor on licensed or regulated premises.

 

All prices reflected on our beverage lists are per bottle and will be charged on consumption. No credit is given for unused opened bottles. Opened and unused alcoholic beverages cannot be removed from the event, except by our staff. The University Function Caterers is proud supporter of the concept of responsible service of alcohol. Our service retains the right to refuse alcohol service to an intoxicated patron.

INSURANCE AND LIABILITY

Hires who book a venue must have a current Public Liability Insurance policy to the value of not less of $10 million for any one claim against personal injury or damage to property.

If hirer does not have adequate Public Liability Insurance, UWA Student Guild insurance cover for the duration of the event can be obtained at a daily rate of $55.00 (incl. GST) from The Catering Office. For further clarification of insurance issues, contact University Caterers 6488 2315.

The hirer indemnifies the UWA Student Guild against claims, losses, actions, damages, costs and expenses, personal injury, death or damage to property arising from the use of the venue and any equipment used during the hiring caused directly or indirectly by any act or omission of the hirer, or their officers, agents or employees or any other person directly or indirectly associated with the hire’s use of the venue or by the hire’s failure to comply with these terms and conditions of venue hire.

RISK

The hirer acknowledges that it uses the venue and its facilities at its own risk. All property brought onto the Venue premises by the Hirer shall be at the hire’s risk and the UWA Student Guild is not responsible for any loss or damage whatsoever to the Hirer’s property.

CONSUMPTION OF FOOD, BEVERAGES, REFRESHEMENTS AND LIQUOR

The hirer acknowledges that only authorised caterers are to provide food and beverage service at the venue. The hirer shall not distribute or sell food or beverages without the prior written consent from the UWA Student Guild.

The hirer shall not distribute or sell alcohol without the prior written consent of the UWA Student Guild and not without obtaining a Liquor Permit or Liquor License.

Liquor may only be served, sold or consumed on University Grounds if a Liquor Permit has been approved by the UWA Manager for Security (6488 1205) and hirers must abide by the Conditions of this permit at all time. A liquor permit must be completed and submitted to the UWA Manager of Security for approval at least 21 days prior to the event. Permits may be downloaded:

Written authority from the University to consume liquor must be carried with the hirer on the day of the function together with the booking confirmation letter.

FURNITURE, EQUIPMENT AND
CLEANING OF VENUE

Furniture and equipment must not be removed without the permission of the Functions Coordinator. If permission to move furniture or equipment is given by the Functions Coordinator it will be on the understanding that the furniture and equipment will be returned to the same position as before the event. The hirer will bear any charges incurred if the hall needs to be reconfigured once the event has concluded.

Furniture and equipment must not be moved outside the venue. The hirer will bear any repair or replacement costs if furniture or equipment is damaged during an event.

Hirers are responsible for leaving the venue clean and tidy after their event. The hirer will incur additional cleaning costs if a venue is not left cleaned and tidy at the end of the event. Additional cleaning is charged at $40/hr (incl. GST) on weekdays and $48/hr (incl. GST) on weekends.

SIGNS, POSTERS, DISPLAY MATERIAL, DECORATIONS AND ATTACHMENTS

Nothing is to be stapled, screwed, nailed or adhered to anyway, door, surface or part of the building, the use of bubble machines, dry ice or smoke machines must have written approval of the Functions Coordinator before being organised. No gaffer tape, no confetti or glitter are permitted.

VENUE & DATES

University Caterers shall have the right to change the dates of Events at it absolute discretion, provided that the Venue shall give the hirer notice in writing of its intention to vary the date of the Event.

DELIVERIES

University Catereres shall not be required to take deliveries of any goods, packages or any material on behalf of the Hirer nor shall be required to accept responsibility for any items delivered to the Venue in the absence of the hirer, its employees, agent s or its contractors.

STORAGE

The hirer shall not store goods at the Venue except in so far as they related to the immediate conduct of the Event.

ACCESS, SECURITY & PARKING

Access to the venue is strictly from the time requested and agreed to the booking form. The hirer, or authorised nominated representative is required to attend the event for the duration of the booking. The name of the nominated representative must be identified on the Booking Application Form. This person must be over 21 years of age.

Where a large number of people are to attend an event and alcohol is to be consumed, additional security must be arranged by the hirer.

Hirers must maintain good order in the vicinity of a hired venue and ensure property in and around of the venue is not damaged.

Where these conditions have been breached, the hirer will pay the cost of layout, materials, cleaning, repairs and restoration of the venue and its fittings, furniture, floors and any other property which has been removed or damaged.
